Our client is a globally recognised leader in the creative and technology space, with a workforce operating across multiple continents. The company employs thousands of individuals and works at the intersection of entertainment, technology, and innovation.
With over 100,000 managed endpoints and a complex mix of on-premise and cloud infrastructure (including Amazon Workspaces), maintaining secure and efficient IT operations at scale is mission-critical.
We manage and oversee 37 recurring processes for client’s internal IT operations team. These tasks, executed on daily, weekly, and monthly cadences, cover key areas including security compliance, employee onboarding/offboarding, and risk detection and mitigation.
The Challenge
Managing IT compliance and data protection for thousands of users is no small task – especially when the company culture encourages creative freedom and open tool usage.
The client’s internal IT team struggled with:
- Manually managing dozens of critical IT security processes, many of which had inconsistent scheduling and owners from multiple departments.
- Lack of automation in high-risk workflows such as employee offboarding, endpoint security validation, and data loss prevention (DLP).
- Limited oversight into endpoint activities – especially around users who were leaving the organisation.
- Difficulty enforcing security policies without restricting users’ ability to do creative work.
- Mounting operational risk from delayed process execution, which could lead to data leakage or service disruptions.
Rite NRG's Solution
We collaborated with the client to design and deliver a bespoke process automation and monitoring toolkit that now underpins much of their day-to-day IT operations.
Key elements of the solution included:
- Centralised orchestration of 37 IT processes, including onboarding/offboarding, DLP monitoring, endpoint compliance, and escalation workflows.
- Creation of a SmartSheet-based framework enhanced with scripting and automation for process reminders, ownership management, and escalation triggers.
- Integration with internal systems to fetch and process data from endpoint agents (e.g., TruPoint), and securely manage manual validation when anomalies occur.
- Custom dashboards for compliance tracking, user risk scoring, and prioritisation of intervention workflows (e.g., USB activity, cloud uploads, unauthorised app installs).
- Built-in alerts and reminders to prevent SLA violations and reduce manual overhead.
Where automation was impossible (due to the creative and decentralised nature of the work), we focused on building smart workflows that make human decision-making easier, quicker, and more informed.
Technologies Used
We leveraged a mix of tools and custom setups to support the client’s internal operations. SmartSheet was used to coordinate processes, trigger alerts, and enable lightweight automation across teams. TruPoint provided data loss prevention and endpoint activity monitoring. AWS Workspaces delivered secure virtual desktops for global contractors. Task flows and escalation logic were managed through custom scripts and macros, supported by a network of Windows and macOS endpoint agents. Everything was integrated tightly with the client’s internal IT ticketing systems for seamless handling of incidents and operations.
