Introduction
An experienced investor identified a growing niche in the mental health sector in Sweden. Following the COVID-19 pandemic, there was a surge in demand for therapeutic services. The client aimed to create a specialized B2B web solution targeted specifically at Swedish therapists. The founders noticed that the supply side was struggling: many experienced therapists, particularly those aged 50+, were overwhelmed by the increasing workload and the need to digitize their practice. Existing software solutions were outdated and failed to support the specific workflow of senior practitioners.
The Challenge
- Digital barrier: Beyond the difficulty senior therapists (50+) had with complex digital interfaces, the manual nature of the existing workflow caused significant financial loss. Patient no-shows frequently created gaps in the calendar, resulting in lost revenue. Furthermore, the process of rescheduling or filling these slots was extremely difficult, as it relied entirely on manual phone calls, making it impossible to manage the schedule dynamically or efficiently.
- Manual notes: A major productivity bottleneck was the documentation process. Research showed that therapists strongly prefer taking notes with pen and paper to maintain undivided attention on the patient. This forced them to spend hours manually transcribing these notes into digital systems afterwards—a double workload that severely limited their capacity.
- Onboarding: Traditional account creation processes were a friction point for the target demographic. Furthermore, handling sensitive medical data required high-grade security to unequivocally confirm the user’s identity. The client required a standard that would simplify the login process while enabling future integrations with other healthcare systems (hospitals, clinics).
- Budget vs. market fit: The investor needed to validate the product’s market fit (MVP) within a strictly defined budget (tens of thousands of EUR). The challenge was to distill a comprehensive product vision into a lean, viable initial version without exceeding financial thresholds, ensuring resources were spent only on high-value features.
- Compliance: Handling sensitive patient records meant adhering to rigorous medical data regulations. The solution required a strict data residency strategy where all medical data had to be stored on servers physically located within Sweden to ensure full compliance with local laws, adding a layer of complexity to the infrastructure setup.

Although the initial feature list was estimated at significantly over budget, we implemented a three-step budgeting iteration. We priced every deliverable and assessed its business value, advising the client on exactly which features were essential for the MVP. This allowed us to reduce the scope intelligently and deliver the core product within the agreed budget.
- Tailored UX: We designed a streamlined web application specifically tailored to the habits of therapists aged 50+. By automating complex logic in the background, we created a clean, intuitive interface that gathers all necessary information (notes, tasks, homework) in one place. This design minimized the learning curve and automated the scheduling flow, reducing the administrative burden of phone-based coordination.
- Technology choice: After a thorough analysis of the requirements with the investor, we advised that the most cost-effective approach for this stage was to build a Progressive Web App (PWA) rather than developing native mobile applications immediately. This strategy significantly reduced initial development costs while delivering a seamless, mobile-friendly experience. We chose React for the development, which ensures that in the future, we can convert the web application into a native mobile application faster and more efficiently.
- Intuitive „Scan & Save”: To bridge the analog-digital gap, we proposed an out-of-the-box feature. We recognized that introducing traditional scanners would be complicated and time-consuming for the users, disrupting their workflow. Instead, therapists simply generate a unique QR code in the app, scan it with their phone, and securely upload photos of handwritten notes directly to the client’s profile. This eliminated manual transcription entirely.
- BankID integration: We integrated BankID, the standard high-security authentication method used by banks and the government in Sweden. This solved the onboarding issue by allowing users to log in securely with their existing digital ID, ensuring data privacy and easing future healthcare integrations.
